Rack Electric is looking for a proactive and highly organized Virtual Assistant to support our team with a wide range of administrative tasks. This remote role will be essential in ensuring that day-to-day operations run smoothly and efficiently. You will be responsible for handling scheduling, email correspondence, document preparation, data management, and various other tasks to keep our operations on track. The ideal candidate is tech-savvy, self-motivated, and capable of handling multiple tasks with minimal supervision.

Key Responsibilities
- Calendar & Scheduling Management: Coordinate and manage appointments, meetings, and events for executives and team members.
- Email & Communication Management: Screen, prioritize, and respond to emails and messages on behalf of the team. Prepare professional correspondence and communications.
- Document Preparation & Organization: Prepare, format, and proofread documents, presentations, and reports. Maintain and organize digital files and records.
- Data Entry & Management: Input, update, and manage data in company databases or CRM systems. Ensure data integrity and accuracy.
- Task Management & Coordination: Assist in project management by tracking deadlines, preparing task lists, and following up on project statuses.
- Customer Support & Inquiries: Provide administrative support for customer service needs, addressing inquiries via email, phone, or chat when necessary.
- Research: Conduct research on various topics as needed, including market trends, suppliers, or competitors.
- Social Media & Marketing Support: Assist in managing social media accounts, creating content, or scheduling posts as part of ongoing marketing efforts.
- Miscellaneous Administrative Tasks: Provide general administrative support as needed, including handling travel arrangements, creating invoices, or managing billing and expenses.
Qualifications
- Proven experience as a virtual assistant, administrative assistant, or in a similar role
- Strong knowledge of office software (Google Workspace, Microsoft Office, etc.) and virtual communication tools (Slack, Zoom, etc.)
- Excellent written and verbal communication skills
- Exceptional organizational and time-management abilities
- Ability to prioritize tasks effectively and manage multiple projects simultaneously
- Detail-oriented with the ability to handle confidential information professionally
- Proactive problem-solver with a self-starter attitude
- Familiarity with project management software (Asana, Trello, Monday.com, etc.) is a plus
- Ability to work independently and collaborate effectively in a remote work environment
